Program Manager, SKILLED Clinical Trials Internship Program

About the Opportunity

The SKILLED Internship Program provides a practical and experiential education pathway that aims to increase the number of PhD, Masters, and Honors-level scientists to become Study Coordinators (SC) and Clinical Trial Administrative Officers (CTAO) within the clinical trials sector across metropolitan and regional Victoria.

As an experienced program/project manager with a background in the health sector (preferably in clinical trials), this role will provide you with the rare opportunity to work closely with stakeholders from leading universities, clinical trial units in host sites across Victoria and expert educators as you manage all aspects of the program, from intake preparation to intern placement, induction & training, through to internship completion and evaluation.

In your role as Program Manager, Skilled Internship you will oversee all operational elements to ensure the success of the program and the meeting of contractual funding requirements.  You will take part in internship project presentations and annual completion ceremonies and support promotional events.

Reporting to the program’s Senior Manager & Regional Advisor, success in this role will hinge on a ‘can do’, collaborative approach and effective teamwork to facilitate information sharing, progress updates, and alignment on necessary administrative tasks and responsibilities to ensure a cohesive approach.

Key Responsibilities

  • Monitoring and ensuring compliance with the SKILLED Internship program objectives and milestones in collaboration with the Senior Manager, key stakeholders and host sites.
  • Managing program milestones, budget, progress tracking, risks/issues and reporting in close liaison with the Senior Manager.
  • Facilitating and managing end-to-end host site recruitment processes working closely with the Internship and Education Administration Coordinator.
  • Managing and facilitating intern orientation and induction training, both online and in person, along with other relevant workshop and training schedules. 
  • Stakeholder management developing communicative and respectful working relationships with key program stakeholders, committees, working group(s) and consumers associated with the Internship Program.
  • Generally supporting interns and host site stakeholders throughout the internship cycle.
  • Consulting with and supporting stakeholders and contributing educators to co-design new training programs as required.
  • Cultivating and maintaining relationships with existing and potential partners, including universities and other institutions.
  • Identifying opportunities for leveraged funding and support funding applications.
  • Applying internal systems, templates and procedures while managing the operational elements of the Clinical Trial Administrative Officer and Study Coordinator training programs.
  • Managing the collection and storage of confidential information, including intern candidate information.
  • Developing and prepare reports to support evaluation requirements and meet scheduled reporting requirements compliant with funding or contractual agreements.

About You

You will have proven experience in collaborative program management, experienced in relationship-building in a multi-disciplinary environment. You will:

  • Have experience effectively managing collaborative relationships and coordinating requirements with senior academics, clinicians, researchers, students, and/or senior stakeholders and/or state government representatives.
  • Be an open, honest, self-aware leader who is experienced in coaching others to success, honest in providing and receiving constructive feedback, and generous in sharing knowledge.
  • Have experience in recruitment and selection, training and evaluation processes for adult learning (internship/educational program development is desirable).
  • Have sound knowledge and a solid understanding of regulatory, ethical and governance, and good clinical practice requirements within the clinical trials sector.
  • Excellent oral and written communication skills, facilitating presentations, reports, meetings/workshops (including providing secretariat support) and comfortable presenting to varied audiences. 
  • Advanced Microsoft Office skills, particularly Excel and PowerPoint; prior experience using interactive learning platforms (LMS) and or project/tasks management platforms.
  • Tertiary qualification in a relevant discipline, such as nursing or allied health, research public health project management, education, or equivalent work experience.
